The Process

Step 1 — Acknowledgement Once your application and registration fee have been received, you will be sent a confirmation acknowledging that your case has been logged and is being reviewed by our team.

Step 2 — Verification Our team will verify the details provided in your application to ensure all necessary information is in order before proceeding.

Step 3 — Contacting the Respondent We will make contact with the Respondent to inform them that a mediation request has been submitted. The Respondent will be given the opportunity to acknowledge the situation and indicate their willingness to participate in the mediation process.

Step 4 — Consent to Proceed Mediation can only move forward if the Respondent agrees to participate. Should the Respondent decline or fail to respond, our team will inform the Applicant accordingly and advise on the available options.

Step 5 — Case Assessment Once consent is received from both parties, our team will carefully assess the nature and background of the situation to determine the most appropriate way forward.

Step 6 — Allocation of Mediator A suitable mediator will be assigned to the case based on the nature of the dispute and the specific needs of both parties.

Step 7 — Planning and Proceeding Our team will devise a structured plan on how the mediation sessions will be conducted, and both parties will be informed of the arrangements in advance.

Outcome

The outcome of mediation is entirely dependent on the willingness and cooperation of both parties. ShiaJamaat and its mediators will facilitate the process with fairness and impartiality, however we are unable to compel or guarantee any specific outcome. A sincere commitment from both sides gives the best possible chance of reaching a resolution that is just and agreeable to all.

How Long Will the Process Take?

The duration of the mediation process varies from case to case and is largely dependent on the responsiveness and cooperation of both parties. Some matters may be resolved within as little as two weeks, while more complex situations may take considerably longer. We kindly ask all parties to respond promptly to any correspondence from our team, as delays in communication will inevitably extend the process.

Case Records and Notes

Records and notes relating to mediation sessions are maintained solely by ShiaJamaat for internal case management and reference purposes. These records are strictly confidential and will not be shared with or disclosed to either party. They exist to support the integrity of the process and will not be used against any party in any capacity.

All matters discussed during the mediation process are treated with the strictest confidence. ShiaJamaat is committed to providing a safe and trusted space where both parties can speak openly, knowing that the process is conducted with dignity, respect, and discretion.
